Managing playbooks
Monitor opt-ins, approve workspace creative, extend campaigns, and track network performance.
For Hub admins. Use Command Center for cross-workspace bulk operations; use the playbook detail view for per-opt-in actions.
The playbook list
Paid Social Ads → Playbooks shows every playbook you've published with:
- Total eligible — workspaces that can see it
- Opted in / Active / Pending review counts
- Spend to date across the network
Click a playbook for the detail view (opt-ins, performance, controls).
Approving workspace creative
Required only when the playbook uses Workspace-Level creatives.
Open the playbook detail
Filter opt-ins by status In Review.
Review the submission
Workspace name + location, uploaded media, opt-in answers, budget, schedule.
Approve or Request Changes
- Approve → deployment starts immediately, workspace is notified.
- Request Changes → enter feedback. Status stays In Review with a "Changes Requested" sub-state until they resubmit.
Open Scribe: Approve Workspace Media Opt-Ins ↗
Opt-in statuses
| Status | What's happening | Hub action |
|---|---|---|
| Pending | Submission processing | Wait |
| In Review | Workspace media needs your approval | Approve or request changes |
| Deploying | Creating campaigns in Meta | Wait |
| Active | Campaign live | Monitor |
| Partially Deployed | Some campaigns succeeded, some failed | Investigate failures |
| Failed | All campaigns failed | Workspace can retry |
| Cleanup Failed | Both deploy and rollback failed | May need manual cleanup in Meta |
| Completed | Hit end date | For evergreen, workspace can re-opt |
| Paused | Workspace paused | None |
| Cancelled | Workspace cancelled | None |
| Questions Only | Answered questions, opted out of ads | Review responses |
A workspace can't submit a new opt-in while another is Pending, In Review, Deploying, or Active for the same playbook — prevents duplicates.
Editing a published playbook
Edits affect future opt-ins only. Deployed campaigns stay unchanged in Meta.
| Change | How |
|---|---|
| Update creative for future opt-ins | Edit the playbook, save |
| Change deployed creative on a specific campaign | Open the opt-in → Open in Ads Manager |
| Change targeting | Edit Ad Configuration audience types — the next opt-in picks up the change |
| Add new copy variations | Scribe ↗ |
Bulk operations: Command Center
For changes across many workspaces at once, use Command Center. Common workflows:
- Bulk schedule update — Extend end dates across selected campaigns. Scribe ↗
- Bulk budget update — Adjust by % or $ across campaigns
- Bulk pause/activate — Stop or restart a promotion across the network
Adding a new location to an active playbook
When a new franchisee onboards while a playbook is live:
- Complete the onboarding workflow so the workspace exists with budget + ad config
- Update the playbook → add the new location to the playbook scope
- Confirm the Ad Configuration row for that workspace (audience, URL, lead form)
- Set the playbook back to Active — it auto-deploys for the new workspace
- Open Command Center to confirm the new location appears
Stopping an evergreen playbook
You can't "delete" a playbook with active opt-ins, but you can:
- Unpublish — removes it from the shop; existing opt-ins continue
- Pause all opt-ins — via Command Center bulk pause
- Cancel the playbook — stops future re-runs but keeps history
Performance review
Open the playbook detail → Performance tab for network-wide spend, impressions, CPC, CTR, conversions. Filter by workspace or date range. Export CSV for stakeholder reports.
